POSITION TITLE: Development Associate

REPORT TO: Director of Development

DEPARTMENT: Development

STATUS/SCHEDULE: Full Time, 40 hours per week, non-exempt (CVI business hours are M-F, 8am-5pm, development positions work within a flexible schedule approved by your supervisor)

QUALIFICATIONS:

  • Strong computer skills, including knowledge of fundraising software, eTapestry preferred.
  • Exceptional organizational skills with a high degree of accuracy and professionalism and strict attention to detail.
  • Excellent time management skills and flexibility with the ability to independently manage multiple tasks, meet deadlines and work as a member of a team.
  • Strong technical skills, including proficiency with Microsoft Office Suite and the ability to learn new software as necessary.
  • Good oral and written communication skills.
  • 2 years of fundraising database management experience and Bachelor’s degree preferred.

GENERAL RESPONSIBILITIES:

  • Responsible for gift processing and day-to-day management of the donor database, including accurately entering data, producing acknowledgement letters, and generating fundraising reports and mailing lists.
  • Discretion in handling confidential information relating to the giving history and backgrounds of donors and prospects.
  • Maintain donor activity and records for CVI President.
  • Provide administrative support for development department, including month end financial reconciliation with accounting department.
  • Assist with development department special events and initiatives.
  • Assist with prospect identification research and proposal development, preparation and reporting.

SPECIFIC RESPONSIBILITIES:

Gift Processing

  • Open and log daily mail, recording gift sources, restrictions, and amounts.
  • Daily enter gifts and pledges into eTapestry, accurately recording gift initiative, campaign, fund, pledge payment schedule, etc.
  • Generate appropriate acknowledgement letter within 24 hours of receipt of gift. Work with development team members to customize letters for gifts.
  • Track pledges and generate mail pledge reminders according to schedules requested by donors.
  • Work with appropriate CVI staff to accept, process, and acknowledge in-kind donations.

Donor Records

  • Keep electronic and paper donor records up-to-date.
  • Create system and timeline to regularly review records in eTapestry to ensure accuracy of donor contact information.
  • Monitor accuracy of online gifts, ensuring proper data flow into eTapestry.
  • Oversee all donor and prospect files.

Fundraising Reports

  • Produce standard and customized donor reports for program analysis, direct mail, donor giving history, recognition lists, and other information needed to support the President, development staff, fundraising programs and other departments as needed.
  • Generate and ensure the accuracy of annual donor list printed in CVI Annual Report.

Administrative Support

  • Assist with the grant proposal process, including record keeping and making copies of foundation gifts and reporting instructions for the Grant Writer.
  • Under the supervision of the Grant Writer, assist with prospect identification research and proposal development, preparation and reporting.
  • Create targeted mailing lists and mail merges for mail appeals, newsletter, annual report, event invitations and other mailings.
  • Assist Event Planner with event planning, logistics and execution as needed.
  • Reconcile donations with accounting statements each month
  • Create posters and cards in Braille.
  • Work with Office of External Affairs to prepare for board meeting when necessary.
  • Perform other duties as assigned.
