QUALIFICATIONS:

  • Associate degree in social services or related field preferred
  • 2-3-years of related experience preferred
  • Proficiency in MS Office required (Outlook Calendar/Scheduling, Word, Excel, database management)
  • Strong writing, interpersonal and oral communication skills
  • Detailed oriented, ability to multi-task, prioritize and problem solve
  • Resourceful, able to work independently with an extensive range of delegated responsibilities

GENERAL RESPONSIBILITIES:

Under the supervision of the Director of Adult Services, prepare monthly billing, complete intakes for new referrals, coordinate all scheduling needs of clients and staff, and provide administrative support to Director and program staff.

SPECIFIC RESPONSIBILITIES:

Communication

  • Serve as the first point of contact for all Adult Services Program clients, initiate the intake process on new referrals to the department.
  • Provide community resources, information and referrals when appropriate via phone/email/in person to clients.
  • Follow up with Georgia Vocational Rehabilitation Agency staff regarding medical documentation needed for client files, outstanding billing, etc. Occasionally follow up with physicians for updated eye reports with client consent form.
  • Create weekly schedule with input from instructors regarding client’s scheduling needs. Requires attention to detail and accuracy and strong working knowledge of Excel.
  • Consult with Director regarding prioritization of clients, follow up with clients regarding availability for scheduling, revising/cross checking/distributing schedules to staff, GVRA staff, clients, and transportation providers in a timely manner.
  • Maintain client confidentiality.

Client Records and Database:

  • Create database records for each Adult Services Program client, create formal CVI client file ensuring appropriate medical documentation, formal referral, authorizations, etc. are also in the file.
  • Initiate opening and discharge summary of client cases.
  • Purge outdated client files according to HIPPA and GVRA guidelines.
  • Process monthly billing via AWARE (online database) providing detailed information to Accounting department regarding invoices, meeting all internal deadlines.
  • Audit weekly client schedule against staff input in client database identifying errors, missing data, etc.
  • Other duties as assigned.
